Review the conference details

The international association or society announces the timing for their next conference and invites their members to bid for the event. The Al Safeer Congress Ambassador indicates their intention to bid for the conference by submitting a ‘Letter of Intent’ to their association.

A bid manual or guidelines are then made available to the interested applicants by the international association, outlining their requirements for hosting the conference.

Preparing the bid

The bid guidelines are analysed by Dubai Business Events in partnership with the Al Safeer Congress Ambassador to fully understand the bidding process and the key decision making factors. A Bid Committee is formed, featuring stakeholders such as the Al Safeer Congress Ambassador, Dubai Business Events, Dubai World Trade Centre, the Professional Congress Organiser and other interested parties.

A bid document is then developed according to the bid guidelines. The bid document will typically include support letters from relevant stakeholders, information about Dubai, venue and accommodation options, suggestions for social activities, a conference budget and other relevant information.

Submitting the bid

The bid document is submitted to the international association and qualified cities are shortlisted. Representatives from the international association conduct a site inspection in the short listed cities to assess their suitability as hosts. The updated bid document is submitted (if required).

Decision is made

Accepted Answer

The bid is presented by the Al Safeer Congress Ambassador and Dubai Business Events to a committee from the international association. Lobbying and marketing activities are then conducted to position Dubai’s bid. The members or the committee from the international association vote on their preferred host city and the decision is announced, with bidding cities then informed.
